How-To Guide 1: Joining, Setup, and Basic Movement

This guide covers getting into a Scoot room and configuring your basic audio and video settings.

How to Join a Scoot Meeting or Webinar

  1. Access the Link: Click the invitation link that was shared with you.
  2. Select Device/Browser:
    • Desktop: Use Google Chrome (recommended) or Microsoft Edge (recommended).
    • iOS (iPhone/iPad): Download the native iOS app from the App Store and tap the link again.
    • Android: Use the Chrome mobile browser.
  3. Enter as Guest (If Applicable): If joining as a guest, enter your desired Display Name when prompted.
  4. Complete Waiting Room Setup: Verify your audio/video and answer any Smart Badge Questions. Keep your camera and microphone ON to prevent entry errors.
  5. Enter the Room: Click “Enter Room” to join the Scootaverse.

How to Configure Your Camera, Microphone, and Speakers

You can adjust your devices either in the waiting room or once you are inside the room.
  1. Inside the Room: Look at the bottom of the screen.
  2. Change Device: Click the up arrow next to the corresponding video, microphone, or music symbol (for speakers) to open the selections menu, then choose your preferred device.

How to Move Around the Scootaverse

  1. Using a Mouse: Click and hold on your mouse and aim in the direction you want your avatar bubble to go.
  2. Using a Keyboard: Use the directional arrow keys on your keyboard.
  3. On Mobile: Use the joystick or tap and hold on the screen to move around freely.

How to Find Another Attendee and Teleport

  1. Use the Search Bar: Search by a participant’s name, company, title, or other profile details.
  2. Open Smart Badge: Selecting a result opens that attendee’s Smart Badge. Their location is highlighted in green on the Mini-Map.
  3. Teleport Directly: Click the “Teleport” button on their badge to move instantly near them.
  4. Mini-Map Teleport: Click an open location on the Mini-Map and confirm the prompt to move instantly anywhere on the map.

How to Use Text Chat

  1. Open Chat: Click on the message icon located on the bottom-right of your screen.
  2. Send Public Messages: Select “All” from the dropdown menu located above the text box.
  3. Send Private Messages: Use the search bar or the dropdown menu to select the recipient’s name.
    • Note: Messages only save while you are in the room; refreshing the webpage will remove messages.

How to Use Reactions and Emojis

  1. Access Menu: Click the Reactions button (smiley face with a plus sign icon) in the lower right-hand portion of your screen.
  2. Display Reaction (Mingle Mode): Click an emoji, and it will be briefly displayed on your user bubble.
  3. Display Reaction (Presentation Mode): Click an emoji, and it will float upwards on the left-hand side of the presentation screen.

How to Pop-Out a Presenter for Multitasking

  1. Locate Menu: Hover your cursor over the video feed of the presenter you want to pop out.
  2. Open Pop-out: Click the three-dot menu and select “Open pop-out”.
  3. Return to Tab: Click the “Return to tab” button located within the pop-out window to bring the video back to the main presentation.

How to Start a Presentation (Stage Magic)

  1. Access Controls: Click on the presentation button in the center-bottom of the screen.
  2. Invite Others: Alternatively, use the options menu to click “Select Presenter,” choose participant(s), and click “Start Presentation”.
  3. Audience Settings: Use the Presenter Settings menu to select the appropriate Audience Mode (e.g., Restricted Mode, Raise Hand Mode).

How to Share Screens and Video Content

How to Use the Toast Feature

  1. Initiate: Click the “Make a Toast” button. Wait for the 5-second countdown.
  2. End Toast: Click the “End Toast” button to remove your video and return volumes to normal. The host can also end any participant’s toast.

How to Enable Closed Captions (Live Transcription)

  1. Navigate to Settings: In the virtual room, click on the settings icon (three dots).
  2. Select ‘Accessibility’: Within the settings menu, find the ‘Accessibility’ option.
  3. Enable Captions: Toggle the Closed Captions feature to ‘On’.

How to Set Custom Backgrounds

  1. Start Creation: Click on “Create a background”.
  2. Select Type: Choose Color Backgrounds, Image Backgrounds (single, true-to-scale image), or Viewport effects (Parallax) (up to three layered images for movement illusion).

How to Create a Multi-Room Scootaverse

  1. Start Creation: Go to your Scoot Home page and click on “Create a Scootaverse”.
  2. Create First Room: Configure the initial room’s settings.
  3. Add Connected Rooms: Click on “Create New Room” from that Scootaverse for events over 300 participants.
  4. Navigation: Users navigate between connected rooms using a dropdown menu located on the map icon inside the rooms.

How to Upload and Configure Custom Room Items

  1. Access Room Items: Select an existing Scootaverse and click on Room Items.
  2. Add Item: Click “Add Item” and select a PNG file with a transparent background.
  3. Edit Properties: Adjust its Size, Location, and Traversability (whether users can pass through it).

  1. Licensing Requirement: The user must be a licensed user in your organization.

  4. Privileges: The alternate host gains full host privileges for managing the session.

  3. View Attendee Summaries: Click “View All Attendees” to access personalized summaries for each participant.
  4. Receive Summary (Attendee): You will receive a prompt and an email delivery of your personalized AI-generated summary after leaving the meeting.

How to Use Smart Badging for Visual Indicators

  1. Set Up Question: Set up a Smart Badging question during registration.
  2. Assign Colors: The Scoot platform will automatically assign a unique color to each potential response.

How to Stream Content from a Physical Location (RTMP/HLS)

  1. Access Management: Navigate to the main menu and click “Select Presenters” or “Manage Presenters”.
  2. Add Livestream: Click “Add Livestream” and select either RTMP or HLS.
  3. Embed Details: Copy and paste the stream URL and stream key (for RTMP) or just the stream URL (for HLS) from your streaming source.
  4. End Stream: Click the red “X” next to the stream name in the “Manage Presenters” area.

How to Use Video Effects (Virtual Backgrounds and Blur)

  1. Access Tool: Open the Video Effects tool from the sparkle icon next to your video bubble (in the waiting room) or from the main options menu (three dots) once inside the room.
  2. Apply Effect: Click the blur icon or the image icon to select a virtual background or adjust the blur intensity.
  3. Compatibility Note: This feature is currently only supported for users on web browsers using Chrome, Edge, and Firefox.

How to Control Audience Interaction Modes

  1. Access Settings: From Presenter Settings, select “Audience Settings”.
  2. Select Mode: Choose one of the five primary modes:
    • Restricted Mode: Locks down all audience audio (lecture style).
    • Raise Hand Mode: Moderator manages a queue for Q&A.
    • Open Audience Mode: All users can be heard.
    • Single Push To Speak/Many Push To Speak: Allows one or up to four audience members to speak simultaneously.

How to Record a Presentation Natively

  1. Start Recording: While in presentation mode, click the “Record presentation” button.
  2. Stop Recording: Click the “Stop Recording” button.
  3. Access Recording: The recording will appear on your dedicated recordings page once processing is complete.
